Zoom integration
Connect your own Zoom account to your Tourbox profile and Tourbox will:
- Show a notification when your Zoom Phone line rings, with the caller’s name and a link to their record when the number matches a customer or supplier.
- Log incoming and outgoing calls on that customer’s or supplier’s timeline, next to their emails.
- Dial any phone number in Tourbox through the Zoom client.
The connection is personal. Each team member who uses Zoom Phone connects their own account. Nobody else in your organisation can see or use your Zoom connection.
You need a Zoom account with Zoom Phone for call notifications. Without Zoom Phone you can still connect, but no calls will be logged.
Adding Zoom
- Open your profile from the menu in the top right, or go to Settings → Profile.
- In Connected accounts, click Connect Zoom.
- A Zoom window opens and asks you to sign in and approve access for Tourbox. Tourbox asks to see your Zoom profile and your Zoom Phone numbers, and to be told when your line rings. Click Allow.
- The window closes and your Zoom account appears under Connected accounts with the label Zoom Phone and the number of phone lines found.
If you manage several Tourbox organisations, connect Zoom in each one you want notifications for.
When a call comes in
When your Zoom Phone line rings:
- A notification appears in Tourbox with the caller’s number. If the number belongs to a customer or supplier in your organisation, you see their name and an Open link to their record.
- If Tourbox is not the active tab, your browser shows a desktop notification instead. The first time this happens your browser asks whether Tourbox may send notifications; choose Allow.
- The call is added to the matched customer’s or supplier’s timeline as a call entry. When the call ends, Tourbox records how long it lasted. Missed and declined calls are recorded too.
Calls from numbers Tourbox does not recognise still show a notification, but nothing is logged until you link the number to a customer or supplier.
Calling from Tourbox
Click any phone number on a customer, supplier, booking or enquiry. The Make a call dialog opens:
- Choose Call via Zoom. If you prefer another phone, choose Open in dialler or Track only.
- Optionally link the call to a booking and add notes. Notes are saved to the timeline as you type.
- Click the call button. Zoom opens and dials the number. Tourbox shows the call as Ringing, then On call, and records the duration when it ends.
Without Zoom connected, Tourbox can still open your phone’s dialler and log the call, but it cannot fill in the duration for you.
If the connection expires
Zoom connections occasionally need renewing. When that happens, Connected accounts shows Zoom connection has expired with a Reconnect button. Click it and approve access again. Nothing already logged is affected.
Removing Zoom
- Go to Settings → Profile → Connected accounts.
- Find your Zoom account and click Disconnect.
- Confirm. Tourbox deletes its copy of your Zoom sign-in and phone numbers and stops receiving call notifications for you immediately.
Calls that were already logged stay on the customer and supplier timelines, since they are part of your organisation’s records. To remove Tourbox from the Zoom side as well, open your Zoom account, go to Added apps and remove Tourbox.
What Tourbox stores
For a connected account: your Zoom user id, account id, email address, display name and the phone numbers assigned to you. Your Zoom sign-in tokens are stored encrypted and are used only to keep the connection alive. For each call: the Zoom call id, the two phone numbers, the time and the duration. Tourbox never accesses recordings, transcripts, voicemail or meeting content.
